Reading the specification at goods-in

The registry number is the only unambiguous identifier in the whole consignment. Development codes such as DM-235 circulate in older catalogues and archive files, so the stock card carries both designations and treats them as one position. Where the certificate and the label disagree on the registry number, the parcel is parked in quarantine and the supplier is asked to reconcile the paperwork before any shelf position is assigned. A recalculated molar mass is a cheap secondary check. If the formula printed on the label does not add up to the mass in the catalogue entry, the discrepancy is resolved on paper rather than on the balance.

The stock card is opened on the day of acceptance and closed only when the container leaves circulation. Between those two entries it accumulates the whole history of the material.

• Date of acceptance, internal number and supplier lot number.
• Every opening of the primary container with the mass withdrawn.
• Storage location and each subsequent relocation.
• Results of periodic visual inspection and of any repeat purity check.
• Final entry: transfer out, disposal protocol or exhaustion of the lot.
