Reading the specification before the container is opened

The identifiers above must agree across three places: the supplier invoice, the primary label and the certificate of analysis. This is a solid organic compound of moderate polarity, held in a dry cabinet at room temperature unless the label states otherwise, away from strong oxidisers and away from acids and bases that could attack the amide function if a spill ever brought them together. Carriage and secondary packaging

A shipment leaving the store is built up in layers, and the outer layer carries the identifiers rather than a description.

• Primary container closed, taped and placed upright inside a rigid secondary box.
• Inert cushioning that will not shed particles if the primary seal opens in transit.
• Outer label repeating the substance name, the CAS registry number, the lot symbol and the net mass.
• Consignment note naming the same four items, so that the parcel can be reconciled without opening it.
• Handover signed at both ends, with any transit delay entered in the record.

Documentation that has to outlive the batch

The record for a lot survives the material itself. It holds the intake date and the receiving signature, the certificate of analysis in its original form, every withdrawal with mass and date, the running balance, the retest date and the route by which the residue and the empty primary container were finally handled. Stock counts compare the physical balance with the ledger balance and the difference is investigated rather than adjusted away, which is the only mechanism that catches an unlogged withdrawal before it becomes an unexplained gap.
